How do I set up a booklet in PagePlus 8? I'd like an "all in one" publication, having a cover and "inside" pages with headers/page numbers, etc.

Answer:

This can be done in PagePlus 8 by making use of the "Multiple Master Pages" feature. The key to success is in correctly setting-up the publication's pages before you start.

In PagePlus 8 the user is able to choose how the publication appears on-screen and how the Master Pages are set up. The printed output will not be affected by how the user chooses to view the publication on-screen, of course.

For the on-screen display, the user can choose whether or not to use a "Facing Pages" display for the publication and, if "Facing Pages" display is chosen, whether or not "Dual Master Pages" are specified. Facing Pages displays on-screen the booklet's "complimentary pair" of pages side-by-side, e.g. pages 2 & 3, 4 & 5, etc. and Dual Master Pages does a similar thing. It is possible to have Facing Pages for the main publication pages and single Master Pages. Better still, it is possible to switch between these options after the publication has been set up initially.

The "step-by-step" instructions below are for a booklet with A5 portrait-format pages, the on-screen display set to Facing Pages and the option for Dual Master Pages selected.

Setting Up the Basic Publication

  1. Open a new publication, e.g. select "New" from the "File" menu.

  2. Select "Page Setup" from the "File" menu . The Page Setup dialogue will appear.

  3. Select "Regular/Booklet Publication" in the "Publication Type" section.

  4. Select the correct paper size for the publication.

In this example "A5" is NOT correct! If one were to place two portrait-format sheets of A5 paper side-by-side then this would make an "A4" landscape page, i.e. an A5 portrait page booklet will be made up of A4 landscape pages.

So, select "A4" from the list of page sizes and choose "Landscape" in the "Publication Size" section.

  5. Select "Side Fold Booklet" from the drop-down list next to "Booklet:" and "Right Side" from the drop-down list next to "Start on:".

  6. Click inside the check-box on the left-hand side of "Facing pages" and ensure that "Dual master pages" is also selected (it ought to be by default).

Click on "Finish" to complete the set up process. Use the "Pages" tab of the "Studio"
to check that you have the following:

    1. one dual-page Master Page (upper window of Studio), and
    2. a four-page publication (lower window of Studio).

If the Studio isn't active, turn it on by clicking on the "View" menu and selecting it from the list.

Cover, "Inside" Pages, Page Numbers and Master Pages

The following instructions will set-up an eight-page publication; pages 1 & 2 and 7 & 8 will form the front and back covers and pages 3 to 6 will be the "inside". The cover will be left blank and the "inside" pages will have a header for each page and a page number.

  1. Add 4 pages to the publication; e.g. click "Page" on the "Insert" menu - the default choice is for 4 pages and in this case it doesn't matter whether the pages are added before or after the current selection. Have a look at the "Pages" window of the Studio to see what's changed!

  2. Switch to Master Page view; either select "Go to Master Page" from the "View" menu or click once on the publication's page number at the bottom-left of the main document window.

  3. Add a second Master Page in the same way that pages were added in 7., above.

  4. Add whatever header you want to both the left and right-hand pages of Master Page 2 using a text frame and position the frame where you choose.

  5. To add page numbers to each side of the dual master page do the following:

    1. drag out a text box
    2. "Page Number" from the "insert" menu
    3. repeat i) and ii)
    4. position one text frame on each of the left and right hand pages of Master Page.

  6. Return to the main page view; either select "Leave Master Page" from the "View" menu or click once on the publication's page number at the bottom-left of the main document window.

There will now be an eight page publication with two "Dual Master Pages". One pair of Dual Master Pages will be blank (Master Page 1) and the other (Master Page 2) will have headers and page numbers. Now for the best bit!

  7. Use the "Page" tab of the Studio to drag-and-drop the Master Pages onto the main publication page. In reality, all that will be needed is to drag-and-drop Master Page 2 onto pages 3 to 6, and pages 1, 2, 7 & 8 will have Master Page 1 (the blank one) set by default.

It doesn't matter which half of Master Page 2 you drag-and-drop onto pages 3 to 6 - PagePlus 8 is clever enough to assign the correct (i.e. left or right) half of the dual master page!

You will now have an eight page document with headers and page numbers on pages 3 to 6. The only trouble is, the page numbers will say 3, 4, 5 & 6 rather than the desired 1, 2, 3, & 4! The final stage is to correct this:

  8. Select "Page Number Format" from the "format" menu and set the first page number to "-1".

This will make the pages number like this: -1, 0, 1, 2, 3, etc. Thus page 3 of the publication is numbered as 1.

    Finished!
